We are seeking a highly organized, proactive, and discreet Executive Assistant to support our CEO and Executive Board (6 members), startdate is January 2026.
In this pivotal role, you will act as a trusted partner, managing complex schedules, coordinating communication, overseeing travel, and ensuring smooth execution of high-priority initiatives.
This position is based at our headquarter in Zürich-West, hybrid work is a given.
You’ll operate at the center of the business, enabling effective leadership and execution at the highest level.
Your responsibilities
CEO Support
Manage a dynamic calendar across multiple time zones (Zurich, London, New York), prioritizing meetings and resolving conflicts
Serve as the first point of contact for internal and external communications; screen, triage, and respond where appropriate
Coordinate complex travel arrangements, including itineraries, bookings, and visas
Prepare meeting briefings, agendas, presentations, and support follow-ups
Track tasks and projects, ensuring alignment with strategic priorities
Maintain structured filing systems for easy access to information
Handle highly confidential information with utmost professionalism
Process expense reports and support related financial administration
Provide ad-hoc executive support with a proactive, solution-oriented mindset
Executive Board Support
Organize and manage all logistics for Executive Board meetings (scheduling, materials, minutes)
Liaise with internal teams, senior leadership, and external stakeholders to support effective communication
Assist Board members with occasional travel and document preparation
Support project coordination and reporting across Board-level initiatives
What we are looking for
5+ years experience to C-level executives, ideally in a B2B SaaS or fast-paced environment; Board support experience is a plus
Language skills; German/Swiss- German as a native speaker- excellent English (written and verbal) are essential- every additional European language is a strong asset
Exceptional organization, time management, and attention to detail
Strong communication and interpersonal skills, positive energy and a solution driven mindset
High proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and digital collaboration tools
Comfortable managing confidential information with discretion and integrity
Ability to anticipate needs, work independently, and adapt quickly to change
Strong business acumen and understanding of SaaS operations
